A/R Specialist
Position Summary:
Manages and coordinates the activities of accounts receivable ensuring that all deadlines are met with the highest degree of accuracy.
Primary Duties and Responsibilities:
• Maintains timely and accurate collections of accounts receivable balances, ensures timely posting of cash receipts and daily issuance of customer invoicing.
• Reviews accounts for accuracy; resolves discrepancies ensuring proper debit/credits to the distributor or broker and correction of aging and inventory reports.
• Monitors payments of delinquent accounts; proactively communicates with customers to request payment and resolve disputed invoices.
• Communicates status of account problems on a regular basis.
• Reconciles accounts receivable; prepares and distributes collections and aging reports.
• Reviews Credit Memos daily. Invoicing for accuracy and timeliness.
• Maintains credit history files; reviews and approves credit limits; responds to credit inquiries.
• Executes Credit Reports for analysis of new customers, export customers; completes analysis and makes recommendations.
• Maintains accurate pricing list (FOB/case/territories) including COG’s and distributor pricing.
• Processes broker and distributor commissions.
• Coordinates customer requests for invoice copies as requested.
• Oversees maintenance of accounts receivable files and records.
• Prepares weekly & monthly bank line of credit borrowing base collateral report.
• Actively maintains a clean, orderly and safe work area and all employee common areas. Makes sure that all safety rules are followed.
• Willingly performs additional duties as assigned.
Education and/or Experience
• Associates degree (A.A.) or equivalent, two - four years-related A/R experience, or equivalent combination of education and experience.
• Experience processing A/R in the wine industry highly desirable.
• Experience with Microsoft Dynamics NAV strongly desirable.
Specific Knowledge, Skills and Abilities
• Demonstrates knowledge of accounts receivable, credit management.
• Excellent verbal and written communication skills.
• Proficient in Word, Excel, Access, PowerPoint, Outlook, and Microsoft Windows operating system. Experience with Microsoft Dynamics NAV.
• 10-key by touch.
• Ability to understand and follow written and verbal instructions.

Harvest Enologist
The ideal candidate will live in or near Napa, California and be able to work in our Napa Winery. The position reports to our Winemaker and is a member of our Winemaking team. The ideal candidate will have a degree or two to five years relevant experience.
Position Summary:
As part of the DS&S Winemaking Team, this position coordinates wine production through crush, fermentation, clarification, aging, blending and bottling. This employee will be trained in all aspects of our lab and lab procedures, cross trained on data entry and tracking of our bulk wine movements, trained on harvest responsibilities at our winery in Napa. This employee should be prepared to work 6 days a week and up to 60 hours per week during harvest. This can require travel to vineyards, etc. in the mornings and late evenings. Saturday and Sunday work may be required.
Primary Duties and Responsibilities:
• Be able to communicate with cellars, lab, and winemakers.
• Monitor workload in the lab and develop lab procedures.
• Work with our Foss analyzer to track RS levels in our juice and musts and be able to train full time lab tech on use of this equipment.
• Use WineMaker’s Data Base (WMDB) to perform data entry for tracking our bulk wines, juice, and analysis.
• Order materials when necessary. Perform on-site and off-site harvest responsibilities as determined by the winemaking team.
• Oversee production for winemaking at Napa Winery when winemakers are needed elsewhere. Assist cellars and order materials when necessary.
• Participate in blending and tasting of bulk wines in order to be able to report any issues to winemakers. General knowledge of winemaking off aromas or flaws.
• Perform special assignments, projects, and other duties as required.
• Maintains compliance with all DS&S policies, procedures and requirements as well as all state and federal laws.
• Works successfully as part of a team and is responsible for developing then maintaining strong working relationships with co-workers.

Requirements:
• Ability to carry up to 40 pounds of supplies, be able to climb catwalk’s and perform additions at 30 foot heights, and sort grapes by pulling all non-grape items from sorting tables.
• Requires ability to walk, stand and sit, sometimes for prolonged periods of time.
• Requires sufficient good health to properly discharge duties.
• Requires ability to travel to various geographic locations and some overnight stays.
• Requires ability to drive assigned vehicle(s) or personal vehicle, with appropriate state license, following all laws applicable; must provide proof of liability insurance and must be eligible to be insured under DS&S’s insurance policy.

Accounting Assistant
The ideal candidate will live in or near Sonoma, California and be able to work in our Sonoma headquarters office. The position reports to our Accounting Manager and is a member of our Finance and Accounting team. The ideal candidate will have an Associate's degree and one to two years relevant experience. Must be proficient in Word, Excel, Outlook, Microsoft Windows operating system. Experience with Dynamics NAV (ERP) and ExpenseWire (T&E Management) a plus.
Position Summary:
Provides administrative support to finance department management. Serves as receptionist and initial contact for all callers and visitors to Don Sebastiani and Sons corporate offices. Provides support to accounts payable & accounts receivable and performs data entry and clerical functions.
Primary Duties and Responsibilities:
• Meets and greets all visitors; determines their needs and directs them to the appropriate employee or location.
• Answers, screens and directs calls in a courteous, professional and timely manner; takes accurate messages with a high degree of professionalism; check emails and voice messages and respond appropriately.
• Provides administrative support to the finance department management including composing, typing and distributing correspondence, coordinating calendar and scheduling appointments, ordering supplies for the office, collect/organize/deliver mail, and other duties as requested.
• Exercises considerable judgment and discretion in dealing with confidential issues and in handling requests for appointments and telephone calls.
• Will act as Conference Room Coordinator; maintain Corporate Tasting Room to include preparation of internal wine tasting trials & events; contact vendors for repairs & coordinate general repair & maintenance needs for corporate office.
• Reviews all sales expense report reimbursements ensuring proper application of expense limits, receipts attachment, etc. Ensures timely completion of expense report processing on a bi-weekly basis forwards such for direct deposit reimbursements to be made. Expenses submitted through ExpenseWire.
• Enters and processes credit memos associated with promotions, programs, samples, displays, POS, etc. in an accurate and timely fashion as need.
• Receives, copies, and posts bank deposits in ERP system.
• Assist A/P with invoice and PO processing, filing vendor invoicing both hard copy and electronically through via Kwiktag into ERP system.
• Enters bulk wine & materials cost tracking in Excel.
• Actively maintains a clean, orderly and safe work area and all employee common areas. Makes sure that all safety rules are followed.
• Willingly performs additional duties as assigned.
Education and/or Experience
• Associates degree (A.A.) or equivalent, one to two years related experience, or equivalent combination of education and experience.
